About Traecy

What is Traecy?

Traecy is an online platform for quality management in food & feed. It filters the RASFF notifications that are relevant to your chain, requests documents such as certificates and analyses from your suppliers automatically and records every step. Notifications, supplier documents and everything your team did are in one place.

Who is Traecy for?

For quality managers and QA teams of producers, processors, wholesalers and foodservice companies in food & feed, across the EU. Consultants who look after the quality assurance of several companies can switch between them with one account.

Can I use Traecy outside the Netherlands?

Yes. Traecy can be used across the European Union, in Dutch and English, and your data is stored on servers in the EU. Suppliers can answer from any country, also from outside the EU.

Does Traecy help with audits such as FSSC 22000, IFS or BRCGS?

Yes. At an audit you show that you monitor your suppliers and risks. Traecy records which notifications your filters found, what your team did about them, which documents you requested from suppliers and who accepted or rejected them. You look that evidence up in Traecy instead of in mailboxes.

RASFF notifications

Where do the RASFF notifications come from and how often are they updated?

Traecy fetches the notifications twice a day from the public RASFF Window of the European Commission. On weekdays at 08:00 your team receives an email with the new notifications that match your filters. On Mondays that email also covers the weekend.

How do I decide which notifications are relevant to us?

With filters. A filter combines criteria such as product category, hazard category, risk decision, classification, country of origin, country of distribution and text in the subject. A notification matches when it meets every criterion you fill in. Link your suppliers to a filter and the daily email names the suppliers a notification concerns.

What happens when RASFF changes a notification later?

Traecy keeps track of what changed in each notification after it was received. When a change makes an older notification match your filters, for example because a country of distribution was added, it still appears in the daily email. You never receive the same notification twice.

Can I record what we did about a notification?

Yes. Record an action per notification, such as a call or email to a supplier, send a supplier a request for analyses straight from the notification or mark the notification as not relevant, with the reason. The list shows for each notification whether it was sent, followed up or marked as not relevant.

Suppliers

Does my supplier need an account?

No. Your supplier receives an email with a secure link and uploads their documents in a few minutes, without an account. If the link expires before they answer, Traecy sends a new one by itself. The email comes with instructions in the supplier’s language.

Which files can suppliers send?

PDF, Word, Excel, OpenDocument and emails (.eml and .msg), up to 5 MB per file by default. Your team views everything right in the browser and accepts or rejects each document. Documents that arrive by email or post can be uploaded on behalf of the supplier.

How does the FSSC 22000 certificate check work?

Enter the FSSC COID of a supplier. Every morning Traecy looks the certificate up in the public FSSC 22000 register and shows whether it is valid and until when, or whether it has expired or been withdrawn. When the status changes, your team receives an email.

Which languages does Traecy support?

Traecy and all its emails are available in Dutch and English. You choose the language per user and per supplier, so a supplier abroad receives their requests in English.

Pricing and contract

What is a credit?

Every email Traecy sends on your behalf uses one credit. That includes requests and reminders to suppliers, but also the daily notification email to your team. Every plan includes credits per month, which start again at the beginning of each month. Extra credits cost €1 each, or 20% less in bundles.

Do the prices include VAT?

No, all prices exclude VAT.

Am I tied to a contract?

No. You can cancel Traecy every month.

What does onboarding look like?

Personal onboarding is included in every plan. We set Traecy up together with you: we create the filters for your chain and add your suppliers and users, so you receive relevant notifications from day one.

Security and administration

How secure is our data?

Signing in requires a password and a code from an authenticator app. Only email addresses at your own domains can be added as users, and an account is blocked after five failed attempts. Every user has a role that decides what they may do. All connections are encrypted and every request is logged.

Where is our data stored?

On servers in the European Union.

Can I manage several companies with one account?

Yes. If you have access to several companies, for example as a consultant, you choose the company you work in after signing in. You decide per company which emails you receive.

Can Traecy use our own branding?

Yes. Your logo appears in Traecy and in the emails Traecy sends on your behalf, and you can match the colors of Traecy to your branding. Suppliers receive emails from “your company via Traecy” and their replies reach your own support address.

Is your question not listed?

Just ask. We reply personally, and in a demo we show how Traecy works for your chain.
